Position Summary: The administrative support specialist has broad administrative responsibilities to support our corporate customer service and accounting departments. The individual in this role must have the ability to manage a demanding and ever-changing workload. Duties & Responsibilities:Assist in proper coverage and reception of corporate phones each day as neededWhen assisting with phone coverage, must be able to:Handle customer service questions, comments, and complaints Address any billing questionsProfessionally administer all incoming callsGreet guests and tenants in a professional, friendly, and hospital mannerEnsure visitors are signed in and given badge for access to secure office areasProcess daily incoming and outgoing mailData entry including contract processingTypes professional emails, correspondence, reports, and other documents. Assists with customer contract review and data entry/cleansingOrganizes customer contracts and helps enter contracts into accounting softwareAssists accounts payable and accounts receivable departments with various tasks and projectsPerforms a variety of clerical duties such as photocopying, faxing, filing, and data entryAssists in any corporate projects as neededPerforms other duties as assigned. Education & Required Skills:High School Diploma or GEDExcellent phone etiquetteExcellent verbal and written communication skillsExcellent attendance and punctualityMust be flexible and excited about changeMust read and speak EnglishAbility to work a full-time schedule, 40 hours per week; Monday - Friday 8:00 am - 5:00 pmMust possess strong time management skillsAmbitious results oriented individualAptitude for problem-solving, ability to determine solutions for customersClear communication skills (email, phone, in-person) primarily among internal departments, field technicians, sales, and customers.Able to handle daily deadline pressure with positive "can-do" attitude.Ability to maintain and project a positive outlook to customers at all times.Maintains a good working environment with all employees, vendors, and customers.
